Privacy Policy
ProperLog respects your privacy. This Privacy Policy explains how ProperLog (“ProperLog,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you visit properlog.io, contact us, submit interest in becoming a Founding Facility, or provide a logbook, checklist, inspection form, or similar material for us to review.
This policy applies to the public ProperLog website and pre-launch prospect process. It does not yet govern customer accounts or production use of the ProperLog software platform. Customer-facing privacy and contractual terms may be introduced or updated before production service is made available.
1. Information We Collect
Information you provide to us When you submit a form or contact ProperLog, we may collect: • your name; • work email address; • organization or facility name; • facility type; • information you provide about your current operational process; • messages or other information you choose to provide; and • files you voluntarily upload, such as logbooks, checklists, inspection forms, or similar operational documents.
Please do not submit passwords, API keys, authentication credentials, payment-card information, personal health information, or other highly sensitive personal information through the website or file-upload feature.
Information collected automatically When you use the website, we may collect limited technical and usage information such as IP address, browser or device information, referring page, pages viewed, and interaction events. We may use privacy-conscious analytics to understand whether the website is working and how visitors interact with important actions, such as Founding Facility and logbook-upload flows.
We do not intend to send the contents of form fields or uploaded documents to analytics providers.
2. How We Use Information
We may use information collected through the website to: • respond to your inquiry or Founding Facility submission; • evaluate whether ProperLog may be a fit for your facility or organization; • review materials you voluntarily provide so we can understand your existing workflows and, where appropriate, prepare a demonstration or discuss how those workflows could be represented in ProperLog; • communicate with you about your inquiry, a demonstration, pilot, early access, or next steps; • operate, secure, troubleshoot, and improve the website; • understand aggregate website usage and conversion performance; • prevent misuse, fraud, or security incidents; and • comply with applicable legal obligations.
We will not use an uploaded facility document to publicly identify your organization, publish its contents, or create a public case study without separate permission.
3. Consent and Communications
By voluntarily submitting information to ProperLog, you consent to our collection, use, and disclosure of that information for the purposes described at the time of collection and in this policy, subject to applicable law.
If you submit an inquiry or Founding Facility request, we may contact you to respond to that inquiry and discuss ProperLog. We will handle promotional or marketing communications in accordance with applicable Canadian anti-spam requirements. Where required, we will seek appropriate consent and provide a way to unsubscribe from marketing communications.
You may withdraw consent to uses that rely on consent, subject to legal or contractual restrictions and reasonable notice. Withdrawal may limit our ability to respond to or continue an optional pre-launch engagement.
4. Uploaded Logbooks and Facility Materials
Files submitted through “Show us your logbook” or the Founding Facility form are provided voluntarily for the purpose of helping ProperLog understand your current operational workflow and assess or demonstrate the product.
Only upload materials that you are authorized to share. Where practical, remove unnecessary personal information or confidential third-party information before uploading.
We will limit our use of uploaded materials to the purposes described when they are collected, including evaluating your inquiry, understanding workflow requirements, preparing a relevant demonstration, and improving our understanding of product requirements. If we later want to use identifiable customer materials for another purpose, such as marketing, a case study, or public product example, we will seek separate permission.
5. Service Providers
ProperLog may use service providers to operate the website and pre-launch process, including providers for hosting, database or file storage, email delivery, website analytics, security, and related infrastructure.
These providers may process information on our behalf as necessary to provide their services. We expect service providers handling personal information for ProperLog to use appropriate safeguards and to process information consistently with their contractual obligations and applicable law.
Some service providers may process or store information outside your province or outside Canada. As a result, information may be subject to the laws of the jurisdictions where it is processed or stored.
We will update this policy as our production service-provider and data-handling arrangements become more established.
6. Retention
We retain personal information and uploaded materials only for as long as reasonably necessary for the purposes described in this policy, including responding to inquiries, evaluating potential customer relationships, maintaining appropriate business records, resolving disputes, meeting legal obligations, and protecting ProperLog and its users.
We will establish more specific retention schedules as the ProperLog production service develops. When information is no longer reasonably required, we will take reasonable steps to delete, destroy, or anonymize it, subject to legal and legitimate business requirements.
7. Safeguards
ProperLog uses administrative, technical, and organizational safeguards appropriate to the nature and sensitivity of information under our control. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Access to prospect information and uploaded materials should be limited to people and service providers who require it for the purposes described in this policy.
8. Your Choices and Privacy Rights
Subject to applicable law, you may contact us to: • ask what personal information we hold about you; • request access to or correction of your personal information; • withdraw consent where processing relies on consent; • ask us to delete information that is no longer required, subject to applicable legal or business requirements; or • raise a question or concern about our privacy practices.
We may need to verify your identity before completing certain requests.
9. Cookies and Analytics
The website may use cookies or similar technologies that are necessary for site functionality, security, or analytics.
If ProperLog introduces non-essential cookies, advertising technology, session replay, or other tracking that requires additional notice or consent, we will update our practices and consent controls before using those technologies where required.

The website may link to third-party websites or services. Their privacy practices are governed by their own policies, and ProperLog is not responsible for those practices.
11. Children
The ProperLog website and Founding Facility program are intended for businesses, organizations, and adult professionals. They are not directed to children, and we do not knowingly seek personal information from children through these forms.

We may update this Privacy Policy as ProperLog develops, our website changes, or our legal and operational requirements evolve. The version published on the website will identify when it becomes effective or is updated. Material changes will be communicated where required by law.
